What is finance & audit automation, and who is it for?

Finance and audit automation means invoices, receipts, M-Pesa and bank reconciliation and expense approvals run in software, leaving an audit trail as they go. Techmode builds these for Kenyan finance teams so month end is a review rather than a rebuild. From KSh 80,000, in two to six weeks.

Automated invoicing, M-Pesa and bank reconciliation, expense approvals, and audit-ready trails. Your finance team stops chasing paperwork and starts seeing the numbers that matter, in real time.

The problem

What this actually costs you.

Someone matches M-Pesa messages to invoices by eye, line by line.
What it costsDays a month on matching, and errors that surface only at audit.
Expense approvals live in a WhatsApp group.
What it costsNo record of who approved what, which is the first thing an auditor asks for.
Year-end audit means three weeks of finding documents.
What it costsThe finance team stops doing finance, and the audit fee reflects the mess.

What we build

The outcome, not the deliverable.

We scope every engagement around results you can measure — not line items that sit on a shelf.

  • Reconcile M-Pesa & bank records automatically
  • Invoice and receipt without manual entry
  • Stay audit-ready all year, not just at year-end

What changes

Before, and after.

  • A customer pays by M-Pesa

    The old way

The message is read, the invoice is found, and both are ticked off by hand.

    With Techmode

The line matches itself and the receipt goes out; only the odd one needs a human.

  • A manager approves an expense

    The old way

A thumbs-up in a group chat that nobody can produce six months later.

    With Techmode

An approval against a limit, recorded with the receipt attached.

  • The auditor asks for support on an entry

    The old way

A search through email, chats and a filing cabinet.

    With Techmode

The trail is on the entry, with the document attached.

What's included

Everything in the price, itemised.

  • Invoices raised from the job or order record rather than retyped
  • Automatic matching of M-Pesa and bank lines to invoices, with rules you can read
  • An exceptions queue: what did not match, and why, in plain language
  • Expense submission and approval with limits, delegation and a permanent record
  • An audit trail on every entry — who, what, when, and what it looked like before
  • Reports your accountant and your auditor both accept
  • A documented month-end routine, and training on it

Timeline

2–6 weeks, week by week.

  • Week 1

    Chart, controls and current pain

We review how money actually moves through the business, the approval limits that exist on paper, and where reconciliation really goes wrong.

  • Weeks 2–4

    Invoicing, matching, approvals

Built and run against your last closed month, so you can compare the automated result to the one you already trust.

  • Weeks 5–6

    Audit trail, reports, close

Trails, reports and the documented month-end routine, with the first close run alongside your team.

Investment

From KSh 80,000, and what moves it.

Finance & Audit Automation projects start at KSh 80,000 and typically run 2–6 weeks. Every project is scoped and priced in writing before any work begins — the figure below is a starting point, not a quotation.

What pushes the price up

  • Several bank accounts, currencies or paybill numbers to reconcile together
  • An accounting package with a closed or awkward integration path
  • Approval matrices that vary by department, amount and category

What keeps it down

  • Starting with M-Pesa reconciliation alone, which is usually the biggest single win
  • An accounting system with a documented API
  • A finance lead who can decide on the matching rules without escalation

Third-party costs — hosting, WhatsApp conversation fees, app store accounts — are yours and are named up front. See how we price for the full picture.

Questions

Finance & Audit Automation, answered.

  • Can you really reconcile M-Pesa automatically?

Yes, for the great majority of lines. Matching runs on rules you can read — reference, amount, timing, customer — and anything ambiguous goes to an exceptions queue with the reason attached. Nothing is silently forced to match.

  • Do we have to change our accounting software?

Usually not. We connect to what you run. If your package has no workable integration path we will tell you what that costs in workarounds so you can decide, rather than deciding for you.

  • Will our auditor accept this?

That is the point of the trail. Every entry keeps who did what, when, and what it looked like before the change, with the supporting document attached. We are happy to walk your auditor through it before you commit.

  • Is it safe to connect our bank and M-Pesa data?

We use official integration paths with credentials you control, read access where writing is not needed, and no copies of statement data outside the systems you have approved. Where a shortcut would be less safe, we do not take it.

  • How long until month end gets easier?

The first automated close usually runs in parallel with your manual one, so you can compare before relying on it. Most teams see the difference at the second close, once the matching rules have been tuned on real exceptions.
