How do you work out the ROI of automation?

You cost an hour of your team's time from their average salary, multiply it by the hours they spend each week on repetitive admin across a working year, and then take the share of that work a system can do unattended. What remains is recoverable cost. Measured against the build price, that gives a payback period in months.

About the numbers.

A calculator is the easiest place on a website to imply a measurement. These are the assumptions behind it, stated as assumptions.

  • Where do these numbers come from?

    From the three figures you enter, and nothing else. We turn the salary into an hourly cost over a 45-hour week, multiply by the admin hours across your team over 48 working weeks, and assume automation recovers a share of that. Every step is printed under the result so you can check the arithmetic yourself.

  • Why assume 60% of the admin is automatable?

    Because it is the middle of what we actually find. Where the work needs real judgement it can be closer to a third; where it is retyping the same detail between systems it can be nearly all of it. 60% is a stated assumption rather than a measurement of your business, and if you think yours is different the result changes accordingly.

  • Is the payback period a quote?

    No. It is the recoverable figure measured against our starting price of KSh 80,000 for business process automation. A larger build costs more and pays back later. We quote properly after we have seen the actual process, and the quote is a fixed price rather than an hourly estimate.

  • Do I have to give you my email to see the result?

    No. The number appears as you move the sliders, and the working is printed beneath it. A calculator that hides its answer behind a form is a lead-capture device rather than a tool, and it gets treated as one.

  • What if the payback period looks too good?

    Then be suspicious of it, and of us. It is a projection built on assumptions we have published on this page. The point of the tool is to tell you whether this is worth a conversation, not to close the sale — bring your own numbers to the first call and we will redo it properly.
